This position carries out a variety of administrative support functions for the Transportation Department.

Examples of key responsibilities include, but are not limited to:
  • Providing administrative support for the creation, monitoring, revision and distribution of weekly memos and reports to Council and Council referrals and coordinating the department approval process.
  • Fulfilling reception duties for the department, responding to internal and external queries regarding the City.
  • Supporting the department’s public engagement activities and assisting with the collection of content from Let’s Talk Richmond
  • Providing administrative support to Grant Programs
  • Administering the collection of department information for annual reporting purposes
  • Purchasing and account payable tasks (e.g. ordering office supplies, paying invoices, reconciling credit cards, and tender openings).
  • Coordinating content and updating Transportation sections of the City website.
  • Scheduling meetings and preparing agendas and taking minutes as required.
  • Creating and maintaining payroll records.
  • Providing back-up support to other Departmental Associates in the Planning and Development Division along with liaising with the entire organization on administrative related functions.
Knowledge, Skills & Abilities:
  • Ability to perform word processing and data entry with a high degree of accuracy.
  • Strong organizational ability with strong interpersonal and customer service skills.
  • Ability to communicate effectively with internal and external customers.
  • Ability to work independently and as part of a team.
  • Ability to have a high degree of flexibility, remain calm, and to meet tight deadlines under pressure.
  • Ability to complete typing, word processing and clerical assignments without supervision.
  • Intermediate to advance knowledge of Word, Excel, Outlook, PowerPoint, REDMS and PeopleSoft.
  • Ability to successfully pass a Police Information Check.
Qualifications and Experience:
  • Successful completion of Grade 12, supplemented by one (1) year of post-secondary coursework related to the position, such as Business Administration or Local Government Administration.
  • Trained in Microsoft Office Suite and word processing.
  • A minimum of 1-2 years of related clerical work in an office environment is required. An equivalent combination of education, training and experience may be considered.
  • Experience working in a municipal government environment is considered an asset.
  • Valid Class 5 Driver’s License for the Province of British Columbia.
