About You / What We Are Looking For
As result of a promotion, we are seeking an Executive Assistant for our recently formed Community Safety department. Reporting to the GM Community Safety, you will work closely alongside peers in our Bylaw Enforcement and Animal Services division, our Emergency and Risk Management division, as well as those in our Civilian Police and Fire and Rescue teams. This is an exciting opportunity for a highly skilled executive assistant to join our exempt team!
 
The ideal candidate is a versatile professional, who is accustomed to working at the executive level and performing the full suite of senior administrative support services. This is a fast-paced, dynamic role with an emphasis on confidentiality and the handling of sensitive emergency services related information. In addition to your excellent organizational skills, creativity, and diplomacy, success in the role requires the ability to handle information with a high degree of political acumen, by utilizing good judgement and by showcasing the ability to handle discreet information in an appropriate fashion. This position will regularly liaise with other administrative professionals in City departments.
 
This position will be responsible for managing the General Manager Community Safety’s calendars, emails, and fielding enquiries from various peers or interest holders from across the City.  This exempt position will also support the Community Safety senior management team, will coordinate, proofread, and track reports to Council, and will perform office administration tasks like correspondence tracking, supply ordering, and arranging for the payment of vendors.

Minimum Qualifications

  • Minimum 5 years experience in a similar executive assistant or senior administrative role.
  • Advanced skills in Microsoft Office including Outlook, Word, Excel and PowerPoint are required.
  • A diploma or degree in Business Administration, Office Administration or a directly related field.
  • Valid Driver’s License.

 
Preferred Qualifications

  • Previous experience working as an executive assistant in the public or private sector.
  • Extensive experience as an executive assistant in a professional setting reporting to an executive team member.

 
What We Offer:
This excluded position has an annual salary range of $89,964 - $97,305. The rate of pay is based on a variety of factors including qualifications, knowledge, experience and skills.
