The Local Government Management Association of British Columbia, located on the traditional territories of the lək̓ʷəŋən Peoples, known today as the Esquimalt and Songhees Nations in Victoria, BC is an independent non-profit organization that has been providing professional development and training for local government professionals across B.C. for over 100 years. We are looking for a highly organized, customer-service oriented individual with exceptional administrative skills to join our team! This is a 35 hour per week position.

The key responsibilities of the Program Assistant position include:

  • Assisting the Finance Officer with administrative tasks related to the organization’s financial tracking and reporting, including but not limited to, processing accounts receivable and following up on outstanding monies owed to the Association, preparing bank deposits and posting receipts in a timely and accurate manner, assisting with maintaining sound financial records.
  • Assisting the Events and Volunteer Coordinator in the logistical tasks related to the delivery of iin-person LGMA programs, including but not limited to managing annual conference registration lists, supporting administrative tasks, monitoring program evaluations, and providing technical and administrative support.
  • Providing organizational administrative support including preparation and distribution of various mail-outs, scheduling of meetings, tracking, reconciling, and processing budget expenses, drafting routine and non-routine business correspondence.
  • Addressing inquiries from LGMA members, partners, suppliers, related organizations, and the public in a timely manner by telephone and electronic mail.
  • Developing positive external relationships, focusing on meeting client needs, and resolving complaints/issues with minimal inconvenience to the client.
  • Coordinating the distribution of LGMA manuals, services and resource materials to members.
  • Maintaining, updating, and ensuring the accuracy of a variety of records, including volunteer and member databases.
  • Assisting the Association’s six regional Chapters with maintaining member records and collection of membership dues.
  • Assisting the Executive Director in the preparation of materials and reports for staff, Board of Directors, or external partners.
  • Managing scholarship applications including the acceptance and packaging of applications
  • Representing the LGMA at events as required and providing member liaison and support, promoting membership and presenting the value of LGMA’s professional development and training opportunities.

 
The ideal candidate can surface efficiencies, learn on the fly, communicate well, and enjoys problem solving in a team environment. We are looking for someone with post-secondary training in Office Administration, Finance Administration, Business Administration or a related field with a minimum of two years’ experience and demonstrated ability to:

  • Proficiently use the technology inherent of the work including: Office 365, databases, PowerPoint and Sage Accounting software;
  • Skillfully communicate in writing and orally;
  • Accurately complete accounts receivables and financial tasks;
  • Research and analyze issues and identify solutions;
  • Provide top-notch customer service;
  • Support project or program teams; and
  • Maintain databases (e.g. volunteer/contractor/ membership).

 
Please note, an equivalent combination of education and experience may be considered. Understanding of the local government system in BC is an asset.

In accordance with information and data provided by British Columbia’s Provincial Health Office, being fully vaccinated against COVID-19 is the most effective way to safeguard the health and reduce the risk of transmission to everyone. The LGMA is mandated by its constitution to deliver professional development and training to local government staff members across British Columbia. Because we are a small team and all staff are expected to be available to support the delivery of in-person programming that are subject to the Provincial Health Orders for in-person events, and reflective of the possibility of vaccination passport requirements being reinstated by Public Health Orders, eligible applicants will be asked to show proof of vaccination or proof of medical exemption during the recruitment process.

The compensation range for this position is $37.71/hour ($68,632 annually) in addition to a comprehensive benefit package and flexible working hours.
