Administrative and Communications Assistant


Reports To: Deputy Corporate Officer
Salary: $30.20/hour (2024 Rate + 2% 2023 COL)
Status: Full-Time Temporary (1.0 FTE) from July 1st to December 31st, with potential for permanent employment.

Job Purpose
Reporting to the Deputy Corporate Officer, the Administrative and Communications Assistant plays a pivotal role in supporting efficient administrative operations and enhancing communication strategies within the District of Clearwater. This position provides essential administrative support to senior management, manages communications channels, and ensures the seamless flow of information both internally and externally. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism. The Administrative and Communications Assistant contributes to the overall effectiveness of the Corporate Services department by assisting in daily administrative tasks, coordinating communication efforts, and supporting special projects as needed.
 
Key Responsibilities
Administrative Duties:

  • Manage calls, inquiries, mail, and public works service requests.
  • Maintain reception, supply, and coffee areas, and track office supplies.
  • Support setup for Committee and Council meetings; prepare and distribute the bi-monthly newsletter.
  • Maintain and update staff contacts, business licenses, and the District website.
  • Assist with filing, record management, and bylaw complaints.
  • Coordinate meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, presentations, and reports.
  • Provide backup support and perform other related duties as required.

 
Communications Duties:

  • Implement the District’s communications goals and strategy.
  • Prepare and disseminate outreach materials, including public notices, press releases, and newsletters.
  • Coordinate external meetings and support public engagement events.
  • Regularly update and manage the District website and social media accounts.
  • Assist with content and layout of print publications and public notices.
  • Develop key message strategies and identify opportunities for proactive communication.

 
Qualifications

  • Completion of senior secondary school or equivalent.
  • Post-secondary courses in word processing and spreadsheets (MS Office) and/or a Certificate in Office Administration are assets.
  • Previous experience as an Administrative Assistant, preferably in local government, or an equivalent combination of education and experience.
  • Effective communication skills, both orally and in writing.
  • Strong customer service skills with the ability to handle inquiries tactfully.
  • Basic knowledge of current bylaws and policies.
  • Proficiency in MS Office Suite and Adobe.
  • Excellent organizational, research, and interpersonal skills.
  • Ability to remain calm in emergency situations and communicate clearly.
  • High attention to detail and accuracy in record management.


Work Environment

  • Office environment.
  • May be called upon to support in the Emergency Operations Centre during an emergency within the District.
  • 35 hours per week, Monday to Friday from 8:30 am-4:30 pm.
  • A successful Police Information check is contingent for employment.
