The Town of Qualicum Beach is seeking a dynamic and highly motivated individual for the exciting and rewarding position of Executive Office Coordinator.
 
Reporting to the CAO, the Executive Office Coordinator is a respected and trusted partner within the leadership team who provides senior-level administrative, protocol, and process support to the CAO, and Mayor and Council. This complex role involves liaising with senior management, government officials, and a variety of internal and external contacts, often with competing interests.
 
The position requires a fast-paced, detail-oriented professional with senior administrative experience. The successful candidate will be a naturally supportive, positive, resourceful and solution orientated professional. The Executive Office Coordinator will thrive under pressure with multiple competing priorities and can take the initiative to calmly and smoothly support the business of the CAO, and the Mayor and Council.
Key responsibilities of the Executive Office Coordinator include: managing workflow; advancing office priorities; composing executive-level correspondence (confidential and otherwise); designing and creating communications such as speaking notes, documents and presentations; filing and organizing; arranging executive delegations and conference itineraries; assisting with the critical path of agenda production; liaising with stakeholders and community groups; and maintaining the integrity and confidentiality of all information processed for the CAO, and Mayor and Council. The role will also undertake advancement and coordination of special projects led by the CAO’s office, including but not limited to: Council orientation, annual Strategic Planning, Project Charters and more.
 
This role demands a high level of tact, energy and an understanding of the organization’s focus areas and Strategic Initiatives. In addition to supporting the CAO’s Office, the incumbent will collaborate closely with the Corporate Services Department, Director of Human Resources and the Town’s Senior Leadership Team to set a welcoming, cooperative, and efficient tone for the office.
 
The ideal candidate must be able to perform all work duties with considerable independent judgment under broad guidelines, with a high standard of work ethics and will possess:

  • Ability to independently compose effective and accurate correspondence for a variety of stakeholders.
  • Well-developed interpersonal skills with the ability to deal tactfully and diplomatically with a diverse group of stakeholders including elected officials, staff, external agencies, and the public.
  • Extensive knowledge of Microsoft Office applications.
  • Thorough knowledge of business English, spelling and punctuation, and of current office practices, procedures and equipment.
  • Ability to multi-task effectively with exceptional time management skills and strong attention to detail.
  • Demonstrated ability to work as part of a team, as well as independently.
  • Excellent organizational and research skills.
  • Ability to work with limited supervision with a high degree of accuracy, efficiency, diplomacy and confidentiality.
  • Experience and/or training in communications is an asset.
  • Knowledge of the Freedom of Information and Protection of Privacy Act is an asset.
  • A valid BC Driver’s License.


Required Training, Education and Experience:

  • Two (2) year diploma or certificate from a recognized post-secondary institution, ideally with an emphasis on administration.
  • Three (3) years’ experience in the local government setting, preferably in the administrative context.
  • An equivalent combination of experience and training in either the private or public sectors, acceptable to the Employer, may also be considered.


This exempt position offers a competitive annual salary of $75,000- $77,925, professional development opportunities related to the position and an excellent benefits package. As a requirement of the position the successful applicant must provide a satisfactory Police Information Check prior to beginning employment.
